Privacy Policy
This Privacy Policy explains how Reckonar, Inc. ("Reckonar," "we," "us," or "our") collects, uses, discloses, and retains personal information in connection with our websites, applications, and related services (together, the "Service"), and describes the rights and choices available to you. This Privacy Policy is incorporated into our Terms of Service. The Service is intended for users located in the United States.
1. Information we collect
We collect the following categories of information.
Information you provide to us:
- Account information, such as your name and email address, collected through our authentication provider.
- Your content, such as the notes, hunt plans, questions and answers in Ask Reckonar, saved tracks and their timestamps, parcels, areas, field observations, and other inputs you create in the Service, together with the reports and plans generated for you.
- Location information, such as the parcels and areas you choose to analyze. This may reveal precise geolocation, which is treated as sensitive information under certain laws. See Section 6.
- When paid plans are available, payment information is processed by Stripe. Reckonar may receive billing contact details, subscription and trial status, transaction identifiers, and limited payment-method details such as card brand and last four digits. We do not store full payment-card numbers.
- Communications, such as messages you send to our support team.
- Beta-access information, such as your waitlist request and its approval status.
Information we collect automatically:
- Device and connection information, such as IP address, browser type, and operating system.
- Usage information, such as the features you use and actions you take, collected through logs and similar technologies.
- Device location when you enable a location feature and grant permission, including GPS coordinates and location timestamps. See Section 6 for collection and sharing controls.
Information from third parties, such as our authentication and payment providers, and map, terrain, and imagery data sources.
2. Cookies and similar technologies
We use cookies and similar technologies to keep you signed in, remember your preferences, secure the Service, and understand how the Service is used. Local storage also holds preferences, drafts, and, where supported, in-progress track recordings before you save them. You can control cookies through your browser settings. We do not use cookies for cross-context behavioral advertising.
3. How we use information
We use personal information to:
- provide, maintain, and secure the Service, and generate your reports and plans;
- process payments and manage your Subscription;
- communicate with you, including service and support messages;
- review beta-access requests and communicate about your request or invitation;
- develop, train, evaluate, and improve our products and models, including the uses described in Section 4;
- detect, prevent, and address fraud, abuse, and security incidents; and
- comply with legal obligations and enforce our agreements.
4. Artificial intelligence and model training
We use artificial intelligence to answer questions and produce reports and plans. Generating an answer (inference), reviewing service quality, and training a model are different uses.
- Inference. We may send your question, conversation context, selected plans, and relevant Hunt Area content you are authorized to access to third-party AI service providers to answer questions and generate plans. This can include precise locations and other contributors' shared notes. We use commercial services under terms restricting provider training on this content and do not opt it into provider training. Providers may retain data for security, abuse prevention, or temporary inference caching; we do not promise zero retention or immediate erasure of provider-held copies.
- Conversation history and diagnostics. We save Ask conversations and the context used to produce them so you can reopen them and we can investigate errors. Conversations are private to the asker in the product, not automatically shared with a Camp. Authorized personnel may review content for support, security, debugging, and quality evaluation, including restricted diagnostic copies. Deleting a conversation and deleting independently saved Hunt Area content are separate actions.
- Reckonar model development. We may use customer content, including questions, answers, notes, plans, observations, tracks, and associated location information, to develop, train, evaluate, and improve Reckonar's models and services. We will obtain consent where required by applicable law, including for sensitive personal information, and honor applicable privacy rights and the training preferences we offer. This use is separate from allowing inference providers to train their own models on your content.
- De-identified data. We may use aggregated or de-identified information to improve the Service. Before treating information as de-identified, we take reasonable measures so it cannot reasonably be linked to a person, including through text, routes, or other context. Removing names or broadening coordinates alone is not enough. We commit to maintaining and using de-identified data without attempting to re-identify it and require recipients to honor those restrictions. Genuinely de-identified data may be retained indefinitely, including for future model development subject to the notice above.
5. How we disclose information
We disclose personal information in the following circumstances.
- People you collaborate with. When you intentionally contribute content to a shared Hunt Area, we disclose it to the Camp, guide, client, or other users authorized to access that Hunt Area. Removing your access does not by itself remove prior contributions from the Hunt Area; authorship remains recorded or is pseudonymized where required. Record deletion and verified privacy requests follow separate workflows.
- Service providers and subprocessors. We share information with providers that perform services on our behalf under agreements that limit their use of it, including artificial intelligence providers (for inference), Stripe (payments when offered), WorkOS (authentication and beta waitlist), cloud hosting and diagnostic-service providers. Map, terrain, imagery, and font providers may receive your IP address, device/request information, and the geographic area of requested maps when your device connects to them. A map request can reveal the area you are viewing without revealing your device's actual GPS position.
- Legal and safety. We may disclose information to comply with law, respond to lawful requests, or protect the rights, property, and safety of Reckonar, our users, or the public.
- Business transfers. If Reckonar is involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of all or part of its assets, personal information may be transferred as part of that transaction. We will notify you if a successor would use your information in a manner materially inconsistent with this Privacy Policy.
- At your direction, or with your consent.
We do not sell your personal information. See Section 8.
6. Sensitive information and precise location
Selected areas, saved tracks, and device coordinates can reveal precise geolocation, which certain state laws treat as sensitive personal information. Location features request the permissions required by your browser or operating system. When you explicitly start a track recording, we may collect location while the app is in the background or your screen is locked, where supported by the app and device and with the necessary permissions. Recording may continue until you stop it or revoke the required permission. You can stop recording in the app or change location permissions in your browser or device settings. You can still explore maps without enabling device location.
Showing your position on a map does not by itself start a track recording or publish a track to your Camp. Recording data may be stored on your device and transmitted to Reckonar to save or synchronize the recording. Saved tracks and location-bearing notes follow the access rules of the workspace or Hunt Area where you save or share them. Revoking device permission stops future device-location access; it does not erase previously saved records or stop requests for maps you choose to view.
We use sensitive information for requested features and the purposes described in this policy. Where applicable law requires additional consent, we obtain it before that processing. You may withdraw consent or request limits on sensitive-information use by contacting privacy@reckonar.com. Permission to use GPS or receive AI answers is not consent to model training.
7. Categories of personal information
The following table summarizes the categories of personal information we collect, consistent with California law, along with the sources, purposes, and categories of recipients.

8. Sale and sharing of personal information
We do not sell your personal information, and we do not share it for cross-context behavioral advertising, as those terms are defined under applicable law.
9. Data retention
We retain account information, Hunt Area history, saved tracks, and Ask conversations as needed to provide the Service, including reopening saved work. Retention depends on whether the account or Hunt Area is active, whether information is shared with other authorized users, deletion requests, support and security needs, and legal or financial recordkeeping obligations. Diagnostic copies, temporary local recordings, caches, and backups have different lifecycles from saved content; saving a track does not imply that every source sample is immediately erased.
You may request deletion of content or your account at privacy@reckonar.com. We review requests and coordinate removal from the systems and diagnostic copies we control, subject to applicable exceptions. Shared-content retention does not override statutory privacy rights. Information in routine backups may remain until those backups are rotated, with access restricted; records needed for legal, financial, or security purposes may be retained for those purposes. Provider-controlled AI retention is separate, as described in Section 4. We do not promise that account deletion instantly erases all copies. Genuinely de-identified data may be retained as described in Section 4.
Beta requests are retained in WorkOS to review access and maintain invitation and security records. Approval or denial does not necessarily erase that history. You may ask us to delete your request, subject to records we must retain for security or legal obligations.
10. Security
We maintain administrative, technical, and physical safeguards designed to protect personal information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
11. Your privacy rights and choices
Depending on your state of residence, including California, Virginia, Colorado, Connecticut, and other states with comprehensive privacy laws, you may have the right to:
- confirm whether we process your personal information and request access to it;
- request correction or deletion of your personal information;
- obtain a portable copy of your personal information;
- opt out of the sale or sharing of personal information and of certain profiling; and
- limit the use of sensitive personal information.
You may also manage training preferences where offered or contact us about applicable consent and opt-out rights. Our current training practices are described in Section 4. To exercise any of these rights, contact us at privacy@reckonar.com. You can submit a request by email whether or not an in-app control is available. We will verify your request, respond within the time required by applicable law, and will not discriminate against you for exercising your rights. You may use an authorized agent to submit a request where the law permits. If we decline your request, you may appeal by replying to our response or contacting us at privacy@reckonar.com. De-identified and aggregated data cannot be linked back to you and therefore cannot be individually accessed or deleted.
12. Automated decision-making
The Service generates estimates and recommendations to assist your planning. We do not use your personal information to make decisions that produce legal or similarly significant effects about you without human involvement.
13. Children
The Service is not directed to children under 18, and we do not knowingly collect personal information from them. If we learn that we have collected such information, we will delete it.
14. United States scope
Reckonar is operated from the United States and offered to users located in the United States. Our service providers may process information in the United States or other countries where they operate, subject to applicable safeguards and law; we do not guarantee exclusively U.S. processing. We do not currently offer the Service to individuals in the European Economic Area or United Kingdom.
15. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. If we make material changes, we will provide notice, such as by email or through the Service, and will update the date shown above.
